Google, Outlook, Plaxo, oh my! Syncing Multiple Calendars on the iPhone in Five Colors!

After recently getting married, I realized that my schedule is not the only one that I have to take into consideration. Truthfully, T and I have been together for over 4 years, so our schedules have slowly merged anyways. However, it's nice to be able to view each other's calendar during times when we need to consider making joint appointments. I've been a Google Calendar convert for over a year now, but I still rely on Microsoft Outlook as my main organizational program at home. On the road, I've got my trusty iPhone as my gadget to rule them all. So, the question is, can they all get along?

Prior to the iPhone, I was a Pocket PC/WIndows Mobile user, and Activesync made sure that my Outlook was kept in sync with my phone. When I started using Google Calendar, I needed to find a way to keep that also in sync. I can't remember how many different programs I used. I do remember some of their funny names, however. Funambol, GSync, Goosync, and Plaxo were all services/programs that I gave the old college try with. Plaxo was the one that I eventually stuck with, as it smoothly synched my Google Calendar with my Outlook. It was not a cure for syncing my i760 to Google Calendar directly, but I was willing to live without that capability in exchange for ease of use and reliability. Thankfully, I did experiment with Plaxo enough that it remained on my computer when I switched over to the iPhone.

Thus, Plaxo was still able to sync my Google Calendar to my Outlook, and with the iPhone 2.1 update speeding up the syncing process, I was now more inclined to experiment further. Back to my marriage intro, I began to get greedy and wonder, "Can I sync multiple google calendars to my Outlook and then to my iPhone?" Really, the question arose after seeing different colors of calendar items on another iPhone. I said to myself, "I'm tired of red. How can I get the blue and green colors?"

A little google search revealed a nice post that discussed the setup that I eventually stumbled upon myself. In the author's post, he reveals how to sync multiple Google Calendars to your Outlook (using Plaxo), which then you can sync to your iPhone (via iTunes). I can verify that this works smoothly, and if you have any questions, feel free to leave a comment below.

Now that you've got multiple calendars on your iPhone, how can you assign the colors? I mean, is it me, or is orange to close to red to be assigned as the second colored calendar? Well, sure enough, there is a fix, and again, I can't take credit. Your iPhone can show calendars in the following colors: red, orange, blue, green, and purple. The trick is that it assigns them in that order. Fortunately, there is a fix, and the post will effectively walk you through. However, I will add a suggestion that when you make a "dummy" calendar to take a color, make sure that you have at least one "dummy" event, as my iPhone didn't recognize the calendar otherwise. How times have changed. When I was growing up, my Dad would come home for lunch EVERY day. My Mother would lovingly prepare "soup and sandwich" for us and my sister and I would dress up in my dad's leather coat with faux fur collar, scarf and fedora and play hide-n-seek. My sister actually called this game "Know where me are Daddy?" (and she was the bright one so that doesn't say a lot about yours truly).

We just thought this was normal and that every family spent this much quality time together. Nowadays this just isn't conceivable. We find it hard enough to have dinner together as a family at times between our two chalk-full google calendars and commitments to after hours work and social engagements.

We are certainly committed to making the most of every day and we are fortunate enough to enjoy a lot of time together as a family. Tonight was soccer in Queen Elizabeth Park and we are off to the Waterfront theatre tomorrow to watch the Hungry Caterpillar. The Pumpkin Patch is on the top of the agenda for this upcoming long weekend as well.

My father worked for the same company for 43 years and in our 15 year careers my husband and I have worked for 10 and 9 different employers respectively, including gigs as freelancers and consultants.

My parents bought their house for $38 000, ours was close to half a million.

My parents original stove in their house was 40 years old and looked like it had never been used. Ours is 6 years old and is falling apart.

What has remained consistent over time though is the family values my parents instilled in me since I was a child. Work hard, give and earn respect and be true to yourself and even at the mach three pace in which we lead our lives today, these core values are still the foundation which we live by. For as much as things change, certain things will always remain the same.

For all you Canadians who will be stuffing yourselves with turkey and pumpkin pie this weekend, make sure you take time to give thanks. Thanks for family, for good health, thanks for years gone by and thanks in advance for the years ahead.

You are the hub! The groups, organisations, devices and applications orbit around you. So the design of syncing calendar and contacts should reflect that. Either you choose a device which is very portable and that you use most of the time or you choose a virtual center of these two resources on the web, your time management and your contacts.

There is no one-for-all sync solution if connecting

mobile devices
computers (incl notebooks)
web applications

In this case it's the smartphone, the laptop and a Google account.

The web is the new center

Until recently the personal computing device was the center, the hub all synchronisation refers to. That is increasingly less the case, the center is shifting to the web application, in our case Google apps. (BTW: the PC based sync center was an expensive nightmare for IT departments due to the variety of devices, OSes and technologies as well as the decentralised service requirements)

That shift to the web sounds trivial, but is consequential: if you interconnect your mail, calendars and contacts, you shouldN't double synchronisation, meaning you synch your computer(s) with Google accounts, your computer(s) to the device(s) and your device(s) with Google. Simple law of complexity and slightly different formats turn that into a never ending problem.

So the best center for synching is the web app, in our case Google Apps (or your private Google Account). As the center of coordination is YOU, I would recommend the personal web place as the center for calendaring and contacts. And as of now a personal Google account seems to be a good choice. Gmail is ubiquitous through POP3, IMAP and mobile tools, calendaring offers categorised calendars and offers various ways of combinations. Google contacts could be better, but is good enough to serve as basis. Google offers some sync apps and services as do various 3rd party products.

If you are member of one or more Google Apps domains, I would try to use those as being on the peripherie of your core personal account. Gmail allows to use POP3 on Google Apps, you can even send emails with a different domain after mutually certifying "ownership" of the email address.

The phone could be a center

For Blackberry or iPhone addicts, the new enter might be the mobile device, but again, we change devices pretty quickly usually every 2 years or faster, would you want to change all config every few months?

Pros

we tend to have the smartphone wherever we go
calendaring and addressbook are usually quite good
Syncing is part of the core functionality

Cons

Lifecycle of a phone (system, tools, apps)
Sometimes calendars don't offer categorisation
Some proprietary sync solutions
Some incompatibility issues / OS preferences
Direct syncing to web is still "unusual"

The choice of the mobile phone though influences a lot the ease of synchronisation. Blackberry is Mac neutral, in order to sync the Blackberry to the Mac, you need to by 3rd party tools. iPhone is Linux unfriendly, or better, unfriendly to anything which can't run iTunes. Nokia is more Mac friendly, tends to get better for Linux, but updates of phone software need a Windows PC. There are no great other Smartphones out there, they mostly use either Windows Mobile (arrgghh), or don't have a nice keyboard (some Linux based smartphones), or use outdated OSes like PalmOS (some Treos).

Most users would sync their smartphone first to the PC/Mac. And then the PC/Mac to the web apps. This is becoming archaic in the days of mobile phone flat rates and the always online mode. Therefore we would recommend to scrutinise your phone choice regarding the web sync possibilities.

The PC / laptop shouldn't be your center

What exactly is sync relevant on your computer? Outlook / Entourage, Thunderbird, Mac Mail / iCal / Address, or even Lotus Notes, Exchange, SAP, CRM... Exactly, too many choices, what if you want to switch applications? Second problem: most powerful sync tools for your desktop cost money or they are only good at one specific aspect of synchronisation.

And then there are apps like iTunes. I love iTunes, but... it is proprietary, doesn't run on Linux for example (only as a virtual Windows app), so unless there is a virtual web based iTunes, the iPhone / Mac can only be solution if you have the right equipment (Mac of course, Windows is second best) and if you follow the old PC / Mac centric syncing doctrine.

Remember the "mayday, mayday we are sinking" advertising clip. The response in our case is not the germanic response "what are you sssinking about", but "what are you syncing with" :-)

So when we think about synchronisation, we should forget about the PC / Mac as the center of our universe.

A Suite of Web Apps That's Replaced My Desktop and Local Storage

Last year I successfully went paperless and this year my goal is to render my desktop and local storage redundant for as many day-to-day activities as possible, using a browser as my only client for a new life completely in cyberspace. I still have 3 months to go until the end of the year, but even now the only thing I need my desktop for is audiovisual editing and the only thing I need my external storage for is archiving my extensive audiovisual library that I can't yet move completely to cyberspace. So I can now list the basic suite of web apps that have allowed me to fulfill this year's goal a bit early:

First, some noteworthy web apps I use regularly that never had equivalents on my desktop:

The redundancy you see in some cases is deliberate and you can consider it as risk management. I also use various synchronization programs, all freely available to synch online services on the web with my Nokia N95 8GB and Windows Vista desktop, the latter is mainly to ensure high availability of my data in the absence of an Internet connection or when a service is offline. Google Gears takes care of my data from many of their online services with an offline mode synched to my desktop, so I use this as well. I'm using the free versions of all of the services I've listed, which completely fills my needs for now. I use the Firefox 3 browser almost exclusively, but I'm also testing Google Chrome. To ensure ultimate portability "on the go" I keep some open source portable applications, including a Firefox 3 browser with all of my addons and plugins along with Google Chrome, on a 2GB USB memory stick on my keychain.

I've kept this post relatively short because I plan to go deeper into detail later about these and other web apps I'm using. I mainly wanted to start a dialogue about the use of these web apps and their lessening of our dependence on the desktop and local storage, so I'm looking forward to seeing your comments about your own experiences. I've already become fairly comfortable living in my browser as a denizen of cyberspace, what about you?

Ecco un trucchetto per inviare sms gratis con Google.

Premetto che questo è un "TRUCCO" e che il servizio non è stato creato per questi fini.

1. Andate su http://www.google.it ed effettuate la registrazione.

2. Quando vi sarete registrati tornate su http://www.google.it cliccate su "altro" e poi "Calendar". Se non siete loggati vi chiederà di farlo.

3. Andate nel riquadro sul lato sinistro "I miei calendari" e cliccate su "crea".

4. Date un nome qualunque al calendario, scorrete la pagina e cliccate su "Crea calendario".

5. Ora avete creato un calendario, quindi andate nella barra in alto in alto e cliccate su "Impostazioni".

6. Verrà visualizzata la pagina "Impostazioni Calendario". Cliccate su configurazione cellulare.

7. in "Numero di Telefono" inserite il numero della persona a cui volete inviare gli sms (magari per fare una prova inserite il vostro). Ora cliccate su "Invia codice di verifica" e poi "salva".

8. Riceverete sul numero di cellulare inserito un sms da Google. All'interno c'è un codice. Inseritelo sulla pagina di prima ("Impostazioni"-->"Configurazione cellulare") nel campo "codice di verifica" e poi cliccate su "Conferma codice". Google vi invierà un altro sms con la conferma.

9. Andate nel riquadro "I miei Calendari" e cliccate sulla freccia affianco al nome. Si aprirà un menù e cliccate su "Impostazioni calendario". Andate su "Notifiche" e cliccate "Aggiungi promemoria", cambiate il campo "Email" in "SMS" e "10" in "5"(il minimo, questo numero indica quanti minuti prima dell'inizio dell'evento dovrà essere spedita la notifica). Cliccate su Salva.

9. A questo punto create un evento. Cliccate sulla freccia affianco al nome del vostro calendario in "I miei calendari". Si aprirà un menù, cliccate su "Crea evento in questo calendario".

10. Nella pagina apparirà un form da riempire. Cambiate l'orario di inizio dell'evento inserendo l'orario di quando volete inviare l'sms(calcolando che lui lo invierà 5 minuti prima, quindi se sono le 16.00 e voi inserite 16.04 non invierà nessun SMS perchè le 15.59 sono già passate). I campi che lui invierà saranno "Che cosa" e "Dove". Riempiteli e cliccateli su Salva.

11. Ogni volta che vorrete inviare sms ad una persona basterà creare un nuovo evento, ma se volete potete aggiungere nuovi cellulari. Basterà cambiare nelle impostazioni il numero di telefono e inserire il codice di attivazione (che verrà generato una sola volta e vale per sempre, quindi createvi una rubrica con numeri di cellulare e relativo codice ;) ).

Google Calendar and external iCal feeds - DOA

I've been mucking around with adding my Remember the Milk lists as iCal event feeds to my Google Calendar account. The idea of having tasks with due dates show up like "local" GCal events is great but it doesn't work as I'd hoped.

Apparently I'm not the only one noticing this either based on this post on the GCal Google group. That post notes that it takes hours for the feed to refresh and that there is no way to manually refresh it (you can in with a 30boxes.com calendar but that one leaves a lot to be desired). Quite frankly it's ridiculous that it takes hours. At that point I can't be sure that anything I entered actually shows up in GCal. It would appear this behavior just isn't an RTM issue as I see the same behavior with a feed from iWantSandy.com.

RTM does have two other options available, one for GCal, and if you're using Firefox, one for GMail. The GMail Firefox plugin is quite nice but I don't want my tasks there...I want them in my calendar. The option for GCal itself is OK but I'm picky and don't want to have to click that checkmark to see what I have for the day.

I suppose that GCal is like so many other pieces of software, it gets you most of the way there but then dumps you off about a mile away from your intended destination. This is a real disappointment. I know GCal is free but adding a manual refresh link for the external feeds can't be that difficult. The Google Group link above notes that "they're looking into it". I hope it happens sometime soon.

Not surprisingly this works flawlessly on iCal on the Mac. I can even see tasks with no due date set in the To-Do list part of iCal. But I can't use my Mac at work anymore where I really need to see these lists ;)

Tech Task #5: Google education tools

We were supposed to explore on the the google education tools for this tech task. I chose Google Calendar! I have a blogger account already and the other stuff on google education tools was interesting; however, I found Google Calendar to explore and respond to.

Why would I choose google calendar? Well I am an unorganized organized person. I have schedulers on my cell phone and little digital scheduler to give me times that are important. I have my cell phone alarms and scheduler. I have calendars and daily planners... but google calendar would be a great new way of knowing what is going on! I am putting my class/work schedule on it presently so that this will just be another thing that will make sure an unorganized person will remember!

Along with having your very own scheduler, you can also check out your family or friends schedules. This would be beneficial in schools for group work/ projects, for parents to keep track of what is going on in class, and more. The con to this application for parents would be the parents that are not technologically advanced and do not know how to work a computer little own interenet. However, this can give teachers a chance to implement a home/school connection by having a program set up inviting parents and their children to learn how to use the internet. This calendar would be beneficial also for those children that "lose or misplace their daily planners or newsletters" or for school events such as Terry Fox Run or a school dance.

Outlook at hand with Google Calendar Sync

Ok, I confess, I use Outlook -not because I'm a great fan of Microsof, but because it's the one piece of software I have found that makes no mess of synchronizing with my pda. There may be other tools out there, but time is a luxury I don't often have. However, there is one thing which I have always thought was a big downside of Outlook, and that is that it's not a web-based application like the Google apps, especially because I really like them. Much to my surprise I found a tool which I can't & shouldn't keep to myself, as it's just too perfect for me! Meet Google Calendar Sync.

Google Calendar Sync does exactly what it says: it synchronizes Outlook with your Google Calendar -admit it: this is so cool that you're probably already downloading it. Even if you don't actively use Google Calendar, this software is still useful, even if only for these reasons:

It's a free online Outlook backup!
From the moment you're online, you have your calendar at hand, even if you're working on a public computer in, say, the city library.

Google Calendar Sync runs in your system tray and synchronizes every 120 minutesn although you can change this in 15 min. should you want to do so. You can tweak it so that the synchronisation only goes one way (only from Outlook to Google, for instance) or both ways. This is a no-brainer. Go & download it. Now.

Google Calendar

For those of you that know me, I don't think you would consider me the most organized person in the world. Its not bad, its just that i can get cluttered at times. That's why i like the idea of Google Calendar, having all important dates, appointments, meetings, and so on in one place sounds like a pretty good deal. And I like the fact that you can share it with other people, this could be very useful in terms of using it in a classroom. It would be a handy place to have all tests, assignments, projects, readings or whatever you're doing in class posted. And since parents are always wanting to know whats going on in school (and we all know that kids are so willing to tell their parents what's going on), Google Calendar is perfect for parents to see whats going on in their child's day. I know that in Regina Public Schools the students have to take home an agenda each day and get their parents to sign it, this could easily be done over the computer with Google Calendar.

All in all, I think Google Calendar is pretty sweet. And that it could be a valuable tool for any teacher in any classroom.

Info profs should take responsibility for clouds

Nice post, Alan. I've had a look at the Symtym blog post on personal clouds and have had to click on most of his links to understand what many of the programs do.

There is a vast need for time management/ 'GTD' (=Getting things done) solutions and a wide array of programs and tools available. It was a 2002 book by David Allen that helped enmesh time management principles with the sort of software that could echo and enable these principles in practice. A link from this article led me to an elegant table comparing GTD software. The table allows you to sort by release date (MonkeyGTD was released only yesterday), alphabetically by name, by platform/web/handheld or by free/paid. Another slightly less faceless option to getting things done is Sandy, a free electronic personal assistant. You email or text her to tell her what and when, and she reminds you by email or text message.

Me and most of the folks I work with rely on Outlook tasks and calendar to remind us of what is going on. This is a bit backward and personally, I'd like to improve what I do, especially with regards to task lists. I think I'll keep an eye out for blogs like Heidigoseek, an LIS student who is figuring out the best (& most cost-effective) way to sync her information. She writes about synching her iPhone without DigitalMe, a paid program, here.

Several years ago, I had a Blackberry for work and that is the most synched up I have ever been. It was a pain when I occasionally left it turned on over the weekend, only to be confronted with work emails at odd hours. At the time it was also poor for web surfing. But I still found it useful.

The real point of these gadgets, I believe is not to make us hyper-efficient, but perhaps to allay our anxieties that we might not have all the information we could ever need, with us, at all times. I agree with you that I too do not want the weight of the world on my shoulders when I go for a nice long walk and still want to bring my mobile phone. There needs to be some sort of filtering mechanism...

I think that for many early adopters, what having the latest smartphone does to enhance their personal image is almost more important to them than practicalities like "will it sync with BOTH my Google Calendar AND my Outlook?" The tide is turning, and with things like the GTD movement, it is no longer how to revolve your life around your gadgets, but what can they do for you.

Alan, I think those are good questions to ask. Regarding Q3, I think you should have a chat with the powers that be and see if they would be up for a technology evangelist in your organisation. Perhaps it *should* be the informaticist's role to be this guide, this champion of technology, but it can be a minefield if, like me, you have a preexisting IT department who controls what is installed onto computers. I suppose you can influence people's practice at home and that can trickle down to more people making requests of IT.

One more thing--an exciting (yes, my heart did a flutter) post on going paperless.

Google Reader, Google Mail, Google Maps, Google Desktop, Google Earth, Google Docs, Google Calendar, Google Talk, und jetzt auch noch Google Chrome.

Was ist so toll an Google?

Google ballert eine Anwendung raus und Tage später ist sie bei zigtausenden - wahrscheinlich sogar auf Millionen Rechnern installiert.

Immer wieder liest man von der Sammelwut, die Google mehr oder weniger öffentlich an den Tag legt, und doch ertappe mich selbst auch immer wieder dabei, wie ich auch private Dinge, wie z.B. Termine in den Google Kalender eintrage.
Aber was macht die Googleanwendungen eigentlich besser als andere Programme/Anbieter im Netz?

Ich versuche immer wieder Alternativen zu finden. Nicht nur, um eine bessere Anwendung zu entdecken, sondern auch, um ein Statement zu setzen. Frei nach dem Motto: Google? Nicht mit mir.
Aber ich finde nie Anwendungen, die so gut harmonieren und so komfortabel sind, wie die von Google.
Sei es der Google Reader, der mit meine Feeds im iGoogle serviert, oder der Mailservice Gmail.
Die Benutzeroberfläche ist in allen drei Fällen (Reader, iGoogle, Gmail) für mich einfach perfekt.
Ich kenne keinen Mailclient, der auch nur ansatzweise so gut zu bedienen ist, wie Gmail.

Der Google Kalendar integriert sich ideal in die Startseite iGoogle, die nebenbei auch noch meine eMails und Feeds aus dem Google Reader anzeigt.
Komfortabler geht es doch garnicht!
Und dieses auf iGoogle komprimierte Interface, dass mir alles anzeigt, was momentan wichtig ist, bietet nicht nur mir einen Vorteil. Nein - auch Google profitiert davon, dass ich alles auf deren Servern hoste.
Sie können an Hand meiner Termine (Pizza essen mit X in Y) und meiner eMails gepaart mit meinen Routenanfragen aus Google Maps einfach die passenden Pizzaläden oder Restaurants anzeigen.
Und schon ist ein profil für meine Person erstellt.
Verfeinert wird das ganze dann noch durch meine Suchanfragen, die ich an Google schicke.

Aber ich will das eigentlich garnicht!
Ich will meine Feeds nicht über Google abrufen; ich will meine privaten eMails nicht auf den Googleservern ablegen; ich will keine Startseite, auf der alle Suchanfragen gespeichert und analysiert werden.

Aber was gibt es schon für Alternativen?
netvibes.com ist eine schöne Startseite.
Anpassbar, mehr oder weniger kompatibel mit den Gadgets, die es auch für iGoogle gibt, aber doch anders.
Zum Beispiel fehlt mir da eine schöne Auflistung meiner RSS-Feeds.
Wenn ich alle 70 Feeds, die ich abonniert habe, in einem Tab auf netvibes anzeigen lasse, muss ich fünf virtuelle Meter nach unten scrollen, damit ich die letzten Feeds lese.
Von Effektivität oder "mal schnell einen Blick auf die neuesten Feeds werfen" kann dort nicht mehr die Rede sein.

Der Liferea (Linux Feed Reader) ist ein toller Feedreader für Linux, aber meiner Meinung nach einfach nicht schnell genug. Es müssen immer die einzelnen Feeds von den einzelnen Servern geladen werden. Das dauert einfach seine Zeit.
Und ganz nebenbei finde ich es einfach schade, dass ich Liferea nicht in iGoogle meine Startseite einbinden kann. Dann kann ich nämlich einfach meinen Blick 20cm nach rechts lenken, und schon sehe ich die neuesten Posts!

Gmail ist sowieso außer Konkurrenz - wie gesagt, das Interface ist einfach zu gut...
Da kommt Evolution nicht mit. Thunderbird mocht ich eh noch nie.

Also was bleibt?

- Mail-Client immer laufen lassen; auch, wenn mir der Aufbau und das Interface nicht gefällt
- Feed-Reader laufen lassen; auch wenn ein Update der Feeds ein paar Minuten dauert.
- Kalendar bietet mir Evolution; aber nur, wenn ich zu Hause bin
- Bei den Google-Anwendungen bleiben und zusehen, wie meine Privatsphäre aufgehoben wird.
  Aber immerhin passiert es komfortabel.

WordPress.com cons:: • You can't tweak the CSS of the template/theme at all (unless you pay for it).; • Certain code is entirely forbidden in the content and gets brutally and silently omitted when you try to save your stuff. For example, I wasn't able to embed the kind of Facebook profile badge I wanted to. Another example is that you can't embed a Google Calendar widget. I may have found a possible workaround for that, and I may try it at some point later.; • You can't redirect your default RSS feed to FeedBurner.
